Privacy Policy

This Privacy Policy explains how Dealink CRM (“Dealink,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you use our customer relationship management platform (the “Service”), available at https://www.dealinkcrm.com/. It applies to visitors to our website and to registered users of the Service.

1. Information We Collect

a) Account Information

When you or your organization sign up for Dealink, we collect information such as your name, work email address, company name, and password (or authentication token, if you sign in with Google). Administrators within an organization (“org”) may invite other users, whose account information we also collect.

b) Google Account Data

Dealink offers optional integrations with Google. We only request the specific Google permissions (“scopes”) needed for the features below, and we describe each one on the relevant settings screen before you connect it:

  • Sign in with Google. If you choose to log in with your Google Account, we receive your name, email address, and profile photo from Google to create and authenticate your Dealink account.
  • Send email from Dealink. If you connect your Gmail account, Dealink can send email on your behalf (gmail.send) so that messages you write in Dealink reach your leads and contacts from your own address, and are logged against the relevant CRM records. Dealink does not request access to read your mailbox. We cannot see your inbox, your replies, or any message you have not sent from Dealink.

We do not request access to Google data beyond what is needed for the features above, and we do not use Google data for any feature that isn’t visible to you in the product.

c) CRM Data You Submit

This includes contact and lead records, notes, deal/pipeline information, and any other business data your organization enters into or uploads to Dealink. Your organization controls this data; we process it on your behalf.

d) Automatically Collected Information

When you use the Service, we automatically log technical information such as IP address, browser type, device information, pages visited, and timestamps, in order to operate, secure, and improve the Service.

e) Cookies

We use first-party cookies to keep you signed in, remember preferences, and understand how the Service is used. We do not use third-party advertising cookies.

2. How We Use Information

We use the information above to:

  • Provide, operate, and maintain the Service, including sending email you compose in Dealink and sending notifications (e.g., via Slack, if connected)
  • Authenticate users and enforce access within your organization
  • Provide customer support
  • Monitor for and prevent abuse, fraud, or unauthorized access
  • Improve and develop new features
  • Communicate with you about your account, updates, or policy changes

3. Our Use of Google User Data

Dealink’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We use Google user data only to provide or improve the user-facing features described in Section 1(b) — authenticating your account, and sending email you compose in Dealink from your own address.
  • We do not use Google Workspace API data to develop, improve, or train any generalized or non-personalized AI/ML models.
  • We do not sell, rent, or use Google user data for advertising or advertising-related purposes.
  • We do not transfer Google user data to third parties except as described in Section 4, or as necessary to comply with the law, protect against fraud, or with your explicit consent.
  • Human access to Google data is limited to circumstances required for security, legal compliance, or with your consent for support purposes, and is logged.

4. How We Share Information

We do not sell personal information, and we do not run or monetize the Service through advertising.

We may share information with:

  • Service providers who host our infrastructure or support the Service (e.g., cloud hosting, email delivery), bound by confidentiality obligations and only to the extent needed to provide their service
  • Other users in your organization, since Dealink is a shared, multi-tenant CRM — teammates in your org can see the CRM records and activity your org’s permissions allow
  • Authorities, where required by law, or to protect the rights, safety, or property of Dealink, our users, or the public
  • A successor entity, if Dealink is involved in a merger, acquisition, or asset sale, subject to this policy continuing to apply

5. Data Retention and Deletion

We retain account and CRM data for as long as your organization’s account is active. If you disconnect your Gmail integration, Dealink immediately loses the ability to send on your behalf; email already logged against CRM records remains until deleted by your org or as described below.

If your organization’s account is terminated, we delete or anonymize the account and connected Google data within the same day, except where retention is required for legal, tax, or security purposes.

6. Data Security

We use industry-standard safeguards to protect your information, including encryption in transit and at rest, access controls, and restricted, logged employee access to customer and Google data. Access between organizations is enforced at the database level by row-level security. No system is completely secure, and we encourage you to use strong, unique passwords and enable available account protections.

7. Your Rights and Choices

Depending on your location, you may have rights to access, correct, export, or delete your personal information, and to object to or restrict certain processing. If you’re in the EEA/UK, you also have the right to lodge a complaint with your local data protection authority; if you’re a California resident, you have rights under the CCPA including the right to know what information we hold and to request its deletion.

You can disconnect the Gmail integration at any time from your account settings, which revokes Dealink’s access to your Google Account.

8. Children’s Privacy

Dealink is a business product not directed at, and not knowingly used by, individuals under 16. We do not knowingly collect personal information from children under 16.

9. International Data Transfers

Your information may be processed in the United States. Where required, we rely on appropriate safeguards (such as Standard Contractual Clauses) for transfers of personal data out of the EEA, UK, or Switzerland.

10. Changes to This Policy

We may update this Privacy Policy from time to time. If we make material changes, we’ll notify users by email or an in-product notice before the changes take effect. If a change affects how we use Google user data, we will not make use of that data in the new way until we’ve obtained your consent.
